How to Organize Customers, Jobs and Invoices
6 min read · ONEVIA
When customers, jobs and invoices live in different places, things fall through the cracks. A simple structure keeps everything connected and easy to find.
Start with one profile per customer
Keep every customer in one profile: contact details, notes, and a full history of estimates, jobs, invoices and messages. One record per customer is the foundation of staying organized.
Connect estimates, jobs and invoices
When an estimate is approved, turn it into a job. When the job is done, turn it into an invoice. Linking these together means you never re-enter details and nothing gets lost between steps.
Use status to know where things stand
Give every record a status so you can see the whole business at a glance.
ONEVIA uses simple statuses for each step.
- Estimates: draft, sent, approved, declined, expired
- Jobs: scheduled, in progress, completed, cancelled
- Invoices: draft, sent, partially paid, paid, overdue
Keep notes you can rely on
Add notes to the customer and the job as you go - what you talked about, what the customer wants, access notes, and follow-ups. Future-you will thank present-you.
Review your numbers weekly
Once a week, look at what is outstanding in invoices, which estimates are still out, and what jobs are coming up. Five minutes a week prevents most surprises.
